Reflection on meeting 1

It was the first time I had a meeting which was being video recorded. Hence I was a bit conscious of it in the beginning but later I became at ease and was fully concentrating in the meeting. Our time span was limited since we had to complete the meeting within 1 hour. Firstly, we had to find a serene place to discuss about our project and we found one. We organized ourselves to start the discussion.

We had already written down the agenda for the meeting and we followed the agenda closely during the meeting. Our team leader listed out the points and we discussed each point. During the meeting we put into practice the various skills we had learnt earlier. Each of us were able to communicate what we wanted to convey clearly to others and we were polite in our approach and hence there were no hiccups. Thus we were able to cover all the points needed and also complete our discussion on time. I feel I was clear and confident in conveying my points but I feel I should improve on my body language.



There were a few shortcomings. Our voice was not very clear at all times and hence we were not audible in certain parts of the video. Thus we realized that we need to speak louder in the forthcoming meetings. Personally I feel that I should have been better prepared for the meeting as there were times when we were not very sure if what we were doing is correct. Hence I hope to do better in the upcoming meetings.

    Actually, I think we only need to speak louder for meetings and presentations that are recorded. Otherwise, there is no need for us to speak louder when we can hear what each other is saying in the discussion.

    It is beneficial for the team to do the main parts of the coding together as it will helped the rest of the team to know what are the main functions and variables of the system. In addition, they will also know the structure of the system so that they can come up with the logic for the rest of the functions in the system.

    I also find myself unprepared for the meeting. It is important that every teammate is prepared for the meetings. This may help to ensure that every teammate has some constructive feedback to share and provide useful ideas for the project. Thus, time will be well-spent during the meeting.

  2. Hi Abbinayaa,

    I feel that it was the lack of proper equipment and manpower that made certain parts of our meeting inaudible. We did not have a proper microphone stand or any other helper to aid us with the recording. However, I feel that it is ridiculous to raise our voices to accommodate with the camera. By doing so, it would be as if we were shouting throughout the meeting even though we were so close to each other. It would make the meeting unrealistic.

    I feel that as a leader myself, I could have been better prepared for the meeting. If everyone were to attend the meeting without any preparations, the meeting would not be a productive one. It will definitely save more time if everyone knew their stuffs well. Moreover, decisions could be made faster when everyone is on the same page.

    All in all, you could perhaps describe more about the verbal and non-verbal communication skills that were shown during the meeting. I feel that this was lacking in your post. On the other hand, the details of the things that were discussed in the meeting could have been omitted.

  3. Hi Abbinayaa,

    Personally I think that almost everyone would feel awkward and nervous in the beginning. I also felt uneasy at first because I mentally reminded myself that this meeting would be recorded and I should not make any mistakes. However, as the meeting goes on, I realize that it would not be a problem if I made mistakes because all the other members in my team would point that out and correct it for me. In addition, if I was afraid of making mistakes, I would most probably keep silent and hence would not contribute to the group discussion.

    It was so cool that your leader has planned almost everything beforehand. This might increase the efficiency since everybody would be more involved in the discussion. I was amazed that you even started coding during the meeting. In my group, there was no clear plan and we had to discuss step by step to discover every single problem and solve them.

    It was a good practice to apply all the skills that we learnt from CG1413 tutorials in this group meeting. In fact, effective communication and teamwork is very important here. I was glad to know that you applied the skills successfully and conducted the meeting in a very smooth manner.

    On the whole, I think your group has done a great job. But just as you said, things can be done better if your voices can be louder. I am sure you will do better next time.

  4. Hi Abbinayaa,

    I am sure everyone felt the same way about being camera shy and having some form of stage fright in the beginning of the meeting. The nervousness of being filmed and the added pressure of being graded according to every word and action that is being filmed would definitely have an adverse effect on the quality and flow of the discussion.

    It is impressive to see that the different forms of effective communication that we have learnt for the past few weeks are being put into good use. It certainly seems that your leader did a wonderful job in terms of preparation and also, instead of having to waste precious time resolving disputes and conflicts, your team members made a conscious effort to overcome the language barrier, thus reducing the chances of having any forms of unnecessary conflict.

    On the whole, I feel that the meeting was well organized and efficient. Regarding the voice projection, I feel that it should not be a big issue as the key point is to be able to hear each other clearly. Even though your voice maybe barely audible in the video recording, that may be due to technical faults such as a poor microphone on the laptop or camera. I am positive that with a responsible leader like Haotan, future meetings would yield even more fruitful results. Enjoy your recess week!

  5. Hi Abbinayaa,

    I think that it is normal to feel weird to be filmed during a meeting, and it is good to know that you managed to know your priorities and hence was not affected by the presence of the camera.

    It is great that the whole team contributed the to the ideas and hence allowing the meeting to go by smoothly. In addition, you put into practise the things we learnt during our tutorial classes. This shows that you are making an effort to improve yourself and it is a good effort made. Having people from different cultural backgrounds, your team made the effort to communicate in a common language, as well as having tolerance for one another differences,

    Regarding the problems faced, I believe that everyone is experiencing the same things as you do. When we get unsure of the things we are saying, we may tone down our voices and this may result in people not being able to catch what we are trying to say. So it will be good to try to speak up with confidence. It is ok to be wrong, as we will learn more through our mistakes.

  6. Hi Abbinayaa

    I think your experience was very smooth overall.You had a very well managed group which helped the process to finish without much problem.

    Feeling conscious is very natural for any person who is not used to talking in front of a camera and I am very sure a lot of people had this problem. After a personal experience in that I felt it could be handle if the other group mates help to make the atmosphere a little relaxed and try to engage the whole group in a fruitful discussion.

    It was great that your leader had every thing planned out. It was a very thoughtful thing to do specially when the whole group is disoriented. I felt your group had a very good group coordination which is very vital in any team work. However the small errors could have been avoided by more alertness and communication. But as the saying goes " every thing cannot be perfect ", I think you tried really hard to make it work.
